Recruitment Tracking: What is Most Challenging about Tracking Patient Recruitment Efficiently?

Many callers express interest in a research area that we expect to have at some point in the future but do not have active opportunities available. With so many patients and studies, it is challenging to remember to contact this person when the opportunity becomes available.  
 
I'd love to see some sort of future study tagging capabilities built into CTMS recruitment tracking packages. For example, when the new research area begins enrolling, these tagged participants would already be pre-identified for contact.

There are continual advances in the workflow for recruitment among the CTMS options to make this process as seamless as possible. You may want to check to see if your system can search for patients using custom fields in which you can easily identify study areas of interest by the data captured in the patient records.

Our company is about to start tracking our recruitment effort through the new recruitment section in REVEAL by Study Manager. We are hoping to find it very effective.

Our company has been using Clinical Conductor CTMS for approx. 1.5 years. It does a great job of facilitating tracking recruitment effort. I recommend that you check it out, Amanda.

Hi all - nice thread here! I'd like to find out what the CTMS configuration abilities are with regard customizing tracking of the entire recruitment 'funnel' from responder down through randomized patient, as per what the sponsors ask you at the site to do. As a company engaged in innovative approaches to creating impressions and patient awareness near PIs, we at SiteAvail have found that at the site level, tracking is not standardized when done by yourselves. Some track only after qualification, some track responders at 'top of funnel' downward, etc. If we all just go the way of the companies looking only at # of randomized patients, I think we'd have a hard time showing auditors the screening logs and lack of bias in the process, so there needs to be some standards not only through the CROs, patient recruitment companies and sponsors on how and what to track, but sites need to step up too! I can send patients your way through placement of recruitment ads and making impressions on Video Ad Network TVs placed in medical offices and non-medical venues near your sites, but if you don't track these on a uniquely attributable, standard basis, no one will be able to justify ROI. I welcome your comments!
